In the transportation logistics industry, the condition report, photos and proof or delivery is not a formality. It is the primary record that establishes the state of a unit at the moment it needs to be moved. A well-documented condition report protects against any claims of damage, and satisfies the insurance and legal documentation standards that apply when heavy equipment is in transit. A poorly documented move — or one with no condition report at all — creates exposure across every one of those fronts. Our condition reporting process begins at the moment of first contact with the unit, before it is moved. Our representatives conduct a thorough inspection that includes timestamped, geotagged photography of the equipment’s exterior, interior, undercarriage, and any visible damage points. Written notation documents all observed damage, missing components, and operational status. Odometer and hour meter readings are recorded. Fuel level, key and fob status, and any attached equipment or accessories are documented. For marine collateral, hull identification numbers (HIN) are confirmed. For construction equipment, serial numbers and unit identification plates are photographed and recorded. All of this happens before the carrier takes possession—creating a defensible record of the asset’s condition that is independent of the carrier’s handling.
